The biggest hidden cost I see wellness leaders overlook is decision fatigue.
From choosing the right destination to creating rooming lists, handling transportation logistics, collecting payments, accommodating dietary restrictions, and selecting activity options... it's just a lot to think about and do.
Most group leaders severely underestimate everything.
Another major drain is being the go-to person for everything. When you plan your own retreats, it's like the child's game, Tag You're It!
And let's not forget the emotional part. The stress of trying to make sure it's perfect.
This constant decision-making pulls you out of your natural rhythm.
All these choices chip away at your ability to be fully present and enjoy the retreat.
You end up thinking about "what needs to happen next?" instead of "what does this moment need?"
And guess what? You cannot create a transformative container in this state.
Don't be fooled. The group can feel when your energy is scattered, even if they can't put their finger on it.

You're not just looking for a hotel; you need a setting that is peaceful, private, and energetically aligned with the work the group is doing. That can take extra time to source.
All these little details might seem small on their own, but together they're incredibly important.

And that can only happen when the leader is grounded and present enough to hold space for it all.
That kind of presence can't exist if you're burnt out, scattered, or stuck in logistics.
That's why protecting your energy isn't a luxury. It's a necessity.
Honestly ask yourself how you're feeling during the planning process.
If you're constantly overwhelmed, avoiding tasks, or waking up at 3 a.m. thinking about airport transfers or meal preferences, then there's a problem. These are energy leaks.
Another big clue is if you're spending time doing stuff that someone else could do, and it pulls you away from what only you can do. Hint: another energy leak.
My advice? Don't try to hold on to it all. Your true gift is your presence, not the paperwork. The more you can delegate, the more powerfully you can lead.
When leaders are freed from these logistical burdens, they fall back in love with their true work!
They're free to witness transformation, have deep conversations, and be present for those unscripted moments that make retreats so special.
A bonus for the group leader is that they, too, get filled up!
Most go into retreats thinking it's all about pouring into others. So, when they're not drained by the back-end stuff, they actually receive the same healing, clarity, and connection their participants do.
They leave the retreat not just proud of an amazing event, but energized, inspired, and ready to lead from a deeper place.
